Fast Turn-Around-Time: MedBOS has a simple and reliable system: In by 11:30 PM (EST) completed no later than 11:30 AM (EST) the following day (except Saturday and designated holidays which will be completed on the following Mondays). Customized STAT is available as well.

Simple to Use Technology and Delivery of Note: Customer dictates into a portable hand held recorder, the telephone (via a toll free number) or directly into a computer. Voice files are securely uploaded and stay at all times in MedBOS servers located in a secure world class data center. Users only need an up-to-date PC connected to broadband internet to access the system.

MT’s sign into a secure web site and listen to the voice files and type directly into MedBOS’s proprietary HTML editor.

Document Retrieval: Customers securely log-on to our system via the MedBOS website from any location. The system simply opens the completed documents (appears similar to an e-mail site). The MedBOS system allows a user with web access the ability to manage any document from any location.

The customer has the option to sign the document, press reject (system provides a list of items that they want corrected), or simply make changes directly to the document in the friendly HTML editor and then sign. MEDBOS DOES NOT MOVE VOICE OR DATA FILES VIA TAPES OR FTP.

Reasonable Cost: Based on the overall MedBOS service, the cost to customers will be at a cost reduction to them. The MedBOS transcription fee is based on per line usage (simple line count calculation), with no overtime or extra staffing during high-volume periods, and no costly dictation system to purchase, upgrade or maintain. Line Count-Methodology is a simple Net Line, comprising of 65 Characters.

Customization: MedBOS system is flexible to meet your exacting needs. We can customize our solutions to meet your specific transcription and documentation needs.

Customer Service: Our customer service representatives are available for questions and consultation via phone, e-mail, or on an on-site visit. The MedBOS MT system provides automated notification of conditions such as incomplete documents, incorrect demographics, unknown words and missing template, etc.

Data Security and Integrity: MedBOS is HIPAA compliant and maintains the highest security standards. The Company uses approved data storage and all work is securely encrypted at 128 bit for confidentiality. Our comprehensive procedures maintain the patient information chain of trust. No employee or affiliate of MedBOS has access to copy, by any means, your audio or data files. Also, there is no unauthorized listening to data files or viewing of documents. No sending of voice and data files, they are always stored in a secure environment.

Search: The system has a comprehensive, yet easy to utilize search capability to effortlessly locate transcribed documents using key words.

Fax: The MedBOS system has an extensive faxing system that allows the customer to fax their documents directly from the system.

Additional Features:

Tracking and Reporting System: The MedBOS proprietary MT System provides instant, real-time information to track audio files and documents and generate voluminous types of reports to help you manage your transcribed documents. Though MedBOS affords you the ability to always track the status of a document, you can be assured it will be completed and in your in-box by 11:30 am the next day.

Electronic Signature: MedBOS clients can utilize the simple to use electronic signature feature that enables you to digitally sign with digital certificates, making the approval process highly efficient and intuitive. Our technology ensures virtually tamper-proof security and is the most reliable and effective way to approve and process transcribed documents electronically. This feature is a legally binding electronic document which is consistent with applicable legislation and regulatory requirements (HIPAA, FDA 21 CFR 11, etc.)

Data Storage: MedBOS maintains, on its system, all voice/audio files for 30 days and all transcribed data for the life of the contract (other format back-ups are also available for a minimal charge).

Disaster Recovery: Our policy is one of redundancy. The system has multiple servers providing a highly secure atmosphere in a world class secure data center. The company backs up-data at multiple safe sites. The customer is also provided back up storage to keep onsite. This can be in any requested form (CD, DVD, Tape, etc.). The system has multiple levels of fail-safes for protecting voice files that are dictated by our customers.

Co-Signature: The MedBOS system allows a user with web access the ability to manage any document from any location which includes review, edit, and sign digitally. For mid-level professionals, the system facilitates remote signing of notes by supervising physicians.

Interface with compatible practice management system: MedBOS can interface with many practice management systems. This streamlines the process of adding correct patient demographics to the transcribed notes.
